Job Description

The Role:

You will play a vital role in supporting the conference team with logistics and speaker management for our educational sessions. This position is an excellent opportunity for someone looking to start their career in event management and production. The ideal candidate is highly organized, detail-oriented, and passionate about creating impactful events.

Key Responsibilities:

Logistics Support:

  • Responsible for planning and execution of conference logistics, including venue setup, audio-visual requirements, catering, and on-site coordination.
  • Coordinate travel and accommodation arrangements for speakers, VIPs, conference partners, and staff within the approved budget.
  • Manage registration processes for VIPs, Partners and Speakers, including communications and on-site registration support.

Speakers Coordination:

  • Support the Conference Producer in researching and identifying potential speakers for conference sessions, workshops, and panels.
  • Assist in the invitation and confirmation process for speakers, including drafting communication and maintaining contact lists.
  • Collect and organize speaker bios, headshots, and presentation materials.
  • Support speakers with their logistical needs, including travel, accommodation, and technical requirements.

On-Site Event Management:

  • Provide on-site support during conferences, including speaker, VIPs and partners assistance, troubleshooting issues, and ensuring smooth event execution.
  • Coordinate with vendors, venue staff, and other stakeholders to ensure all event aspects run smoothly.

Administrative Support:

  • Maintain accurate records and databases related to speakers, attendees, sponsors, and vendors.
  • Provide general administrative support to the conference team as needed.
Qualifications
  • Previous experience or internship in event planning, conference production, or a related role is a plus.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team in a fast-paced environment.
